Site-Wide Versus Hub-Level Admin Toolbars
Overview
As a platform administrator, you are responsible for managing and improving your platform on a daily basis. To do this, you'll need to understand how to access your administrative toolbars, how accounts can be transferred from end user to admin categorization, and how to properly segment administrative functions into various access groups so that your colleagues can focus on managing items that are important to them and their specific role.
In this article, we'll cover:
- how to access your administrative tools.
- different administrative levels that are available to you and your team.
- how to add colleagues as admins with appropriate permissions.
The key difference between an admin and a regular end user account is that admins see two additional items that end users don't.
1. The first is a gear icon located in the top right of your platform. This gear icon gives you access to our administrative toolbars.
2. The second is a turquoise question mark in the bottom right of your platform. This question mark connects you with our knowledge base and our customer support team.
Admin Dashboard
The Admin Dashboard is a tool that allows you as an administrator to better understand where to focus your time and energy. In order to access this tool, go to the gear icon in the top right of your platform. From the dropdown menu, access your hub level admin toolbar to be automatically redirected to your Admin Dashboard.
At a glance, this dashboard allows you to focus on the areas that matter most. As an administrator, you'll access it on a daily basis because it helps you understand where to focus your time and attention to create the best user experience possible for your community.
From your Admin Dashboard, you can access the administrative tools that live on the left hand side of the screen. When you're ready to navigate back to your homepage, either click your logo in the top left of your platform, or click the Exit Admin button in the top right to be redirected back to your initial landing screen.
SIte-Wide Versus Hub-Level Admin Toolbars
Most PeopleGrove platforms have two levels of admin permissions and security. Above, we looked at the hub-level admin toolbar. There's also a site-wide admin toolbar. Most main administrators have access to both toolbars and will see all the tools relevant to them in their daily operations.
Your site-level admin toolbar contains many of the technical and initial branding items that are important during onboarding. Beyond your onboarding, it's very unlikely that you'll need to adjust any of the items in your site-wide admin permissions.
On a day-to-day basis, you'll be operating in your hub-level admin toolbar. Our hub-level admin toolbar houses many of the tools that are necessary for user communications, reporting, and daily management of your community.
Granting Admin Permissions
Just like People Grove platforms are set up with two different levels of admin toolbars, so is your admin access. It's up to you whether to grant certain individuals access to one toolbar or both toolbars.
If you choose to add colleagues to both the site-wide and the hub-level admin tools, you'll need to add their account to the Manage Admins section in both areas.
To do so, first navigate to the site-wide admin section, then click on Manage Admins under Admin Management.
All current admins are listed under the Admins tab.
To add a new administrator, add their email and click the bright green Add Admin button.
Different individuals may require different categorization, depending on which tools they need access to. People Grove has created default access groups that are available to you, or you might notice that your platform has customized access groups already set up by your team. It's best practice to categorize different tools into different functions within your business operations.
After adding a new admin, choose the Access Group corresponding to the permissions you'd like to give them.
Next, decide whether you want give the new admin access to hub-level tools as well. If so, repeat the same process from the hub-level toolbar. Putting the admin into both sections allows them to see both toolbars and navigate to the appropriate content they need in order to do their job effectively.
